Community tools

The community tools are useful to have a control over the clients of our company. In addition, they allow us to send newsletter in a personalized way

How to use community tools

First of all, you must go to the "Community tools" section from the main Dashboard:

Next, a window will open with five different categories:

  • Community management - This category refers to all the contacts you have in your company. To generate a new contact, you must click on "Create Contact":

    Then a window will open that corresponds to the customer's file. In this tab you must fill in the basic information of the client, in addition to indicating a valid email.

    You should also fill in more concise information about the customer in question. You can also directly assign a category to the customer.

When you have filled in all the data, click on "Create File".

  • Category management - You can establish different categories in order to classify the contacts created previously.

    To create a new category you must click on "Create Category". A new window will open in which you must choose an ID (you can start with 1), a name, a description and an email linked to the email:

    Once the category has been created, different options will appear, such as modifying, deleting or viewing the contacts associated with that category:

  • Mail archives - From this category you can define the newsletter that will be sent to clients.

    When you click on "Create File", a new window will open in which, first, you must choose a name and a description.

    Below, you will see that you have the option to write the message that you will send to clients via HTML or import an HTML file.

    ❕ Remember to add the tag <##unsuscribe##>. This tag is mandatory to comply with the RGPD

    Once you have completed the Newsletter, you can manage it by displaying the tab on its right.

  • Newsletter - From this section you will have at your disposal different aspects to configure the Newsletter that you will send to your clients.

    To start, you have to click on "Create Newsletter"

    Next you must define a name for the Newsletter and you will have different options at your disposal:

    Configuration

    • Mail subject -> Subject that customers will receive in their email.
    • Email from -> Email account that will appear as the sender in the Newsletter.
    • Description From -> Description of the sending account.
    • User -> Legitimate email account from which the email will be sent. The account must exist at the SW Panel level and be valid.
    • Password -> Password of the email account indicated above.

    Files

    Here you must define the file that we have created previously (in the Mail files section), and it will be the one that clients will see when opening the email.

    Variables

    You can define different variables to use in your Newsletter environments.

    Conditions

    You can apply different conditions or restrictions to your Newsletter, such as, for example, that the mail is only sent to residents of Spain, among others.

    Test

    Once you have finished with the corresponding configuration, you can test the established configuration and see how the newsletter finally looks.

    Next, and once the Newsletter is saved, you will see that different information about it appears, such as the number of emails sent or the number of visits. In addition, you can modify, delete or send it.

  • Queue Sending - From this section you can see the emails that are queued to be sent.

In this way we will have created and sent a Newsletter, which will give our business a more professional appearance and more direct communication about the offers that are available to our clients.
