Notification email configuration

SW Panel allows us to configure which notifications we want to receive and to which address we want to send each of them, according to their typology and our organizational needs.

Configure notifications

From SW Panel, place yourself on the menu with your customer name (upper right side) and access Notification email configuration:

The notifications grouped by typology appear:

In the next section, we detail the meaning of each notification.

Turn notifications on or off

Check the check boxes corresponding to the notifications you wish to receive:

Changes will take effect instantly.

If you do not want to receive any notification email from SW Hosting, you can use the "Deactivate All" button at the bottom of the page.

If you deactivate the emails, the system will not send you any notification. The fact of not receiving notifications does not imply that you should not do the actions indicated therein. There are some very important notifications and it is not advisable to deactivate them.

Change sending address

In the field adjacent to the notification, enter the email address to which it will be sent and click on the "" icon:

If you leave it blank, it will be sent by default to the General contact of your client file, or in some cases (as indicated in the next section), to the General and Billing contact.

Glossary of notifications

Administrative Notifications

  • Cancellation of Service, cancellation of the request: Notification generated upon cancellation of the request to cancel a service.

  • Cancellation of Service, request: Notification generated when requesting the cancellation of a service.

  • Automatic balance charge: Confirmations of automatic recharges made.

  • Denied client update submission: Requests "Improve your account" denied.

  • Valid Client Update submission: Requests "Improve your account" accepted.

  • Service contract delivery: Notification generated when contracting a service in which the contract is attached in PDF format.

  • Invoice Sending: Directed to the General and Billing contact. Notification issued when a new invoice is generated.

  • Failure to automatically charge of the balance: Directed to the General and Billing contact. Notification generated in case of automatic recharge failed indicating the reason.

  • Formalize Recruitment of Services: We notify you when the hiring of a product has been interrupted with suggestions to proceed with its finalization.

  • Receipt Return Notification: Addressed to the billing contact. If a receipt has been returned to us, this notification will be issued indicating the invoice number returned, amount, term and payment methods.

  • Service Elimination Notification: Addressed to General Contact. In case of non-regularized non-payment, after a period of time a notification is issued notifying when the total elimination of the services will be effective.

  • Invoice Emission Notification: Directed to the General and Billing contact. Pre-announcement issued 10 days before the generation of the invoice informing of the services that will be invoiced.

  • Error notification direct bill payment on card: In case of having activated the direct debit payment on credit card, you will receive this notification when, after several attempts, the system has not been able to make the payment. The invoice number, amount and the card are detailed.

  • Notice of Negative Balance 1. notice / 2. notice / 3. notice / 4. notice / 5. notice: Addressed to the General Contact. In case of generating a negative balance, several notifications will be issued informing of the amount, term and payment methods.

  • Negative Balance Notification - Service Blocking: If a negative balance is not regularized after several days, a new definitive notification will be issued, reporting the amount, term and payment methods. It is also reported the precautionary blocking of services, in case of not attending.

  • Notification of Locked Services: Reminder after the precautionary blocking of services due to non-regularized non-payment.

Administrative queries

  • Notification of Expiration of Credit Cards: Notice about the expiration of one of the credit cards informed.

  • Notification of elimination of expired Credit Cards: Notice when proceeding to the automatic elimination of an expired credit card.

  • Your Data Deletion Certificate: Notification generated when requesting certificate of data deletion when proceeding to the cancellation of a service.

Technical Notifications

  • Programmed Action in your Service: Notification generated when programming a technical performance in your service administered by the Systems Engineering Area.

  • Completion of Programmed Action in your Service: Notification informing of the completion of a programmed action in your managed service.

  • Programmed Action is postponed in your Service: Notification generated by postponing a programmed performance in your managed service.

  • Administrative Ticket, closing notification: Notification generated by closing an Administrative Ticket with details about its resolution.

  • Administrative Ticket, creation notification: Notification generated by creating an Administrative Ticket with details about it.

  • Administrative Ticket, request for additional information: Notification generated when the Administrative Department needs additional information for the resolution of your query.

  • Reverse Ticket, notification of creation: Notification generated when the Systems Area detects any incident in your services and proceeds to the opening of Reverse Ticket for its resolution.

Technical support

  • Notification of Postponement of Ticket Execution: Notification generated when the Systems Area postpones the execution of a ticket, including details about it.

  • Security Ticket, notification of closure: Notification generated when proceeding to the closing of a Security Ticket, informing about the details of its resolution.

  • Security Ticket, creation notification: Notification generated when creating a Ticket for Security Consulting with details about it.

  • Security Ticket, request for additional information: Notification generated when the Cybersecurity Area needs additional information for the resolution of a Ticket for Security Consulting.

  • Technical Ticket, Security Update of your Service: Notification generated confirming the application of one or several security updates in your service.

  • Technical Ticket, in process: Notification generated when a Ticket happens to be in process of resolution.

  • Technical Ticket, sending additional information: Notification generated confirming receipt of the additional information requested by the Systems Engineering Area.

  • Technical Ticket, notification of closure: Notification generated when closing a Ticket for technical actions from the Systems Engineering Area. The details of the resolution are reported.

  • Technical Ticket, notification of creation: Notification generated when creating a Ticket for Security Consulting with details about it.

  • Technical Ticket, request for additional information: Notification generated when the Systems Engineering Area needs additional information for the resolution of a Ticket for technical actions.

Security

  • Unusual access to your SW Panel: Notification generated when an access to your SW Panel is detected from an IP address with unusual or suspicious geolocation.

  • Double Validation SW Panel: Notification generated by the double factor authentication in case it is activated.

  • Sending Security Report: Notification generated when a security report is requested with the same attachment.

  • Security passwords report: Notification generated informing of the result of the automatic security control of mail and FTP passwords.

  • Email space report: Notification generated when our automatic systems detect little space in your email accounts.

  • Logout of your SW Panel: Notification generated when leaving SW Panel.

  • Your SW Panel has been accessed: Notification generated when accessing SW Panel.

Sending access passwords

  • Welcome: Notification generated on the occasion of the new registration.

  • SW Cloud Storage Access: Notification generated due to the hiring of SW Cloud Storage with access credentials.

  • SSL VPN Access Sending: Notification generated due to the hiring of SSL VPN with access credentials.

  • User Submission Linux Access: Notification generated on the occasion of the creation of a Cloud Linux in which the access credentials are sent.

  • **User Submission Windows Access **: Notification generated for the creation of a Cloud Windows in which the access credentials are sent.

  • Reset password: Notification generated by password reset request with instructions.

Informational messages to clients

  • SW Panel Direct Message: Notification generated upon receipt of a direct message via SW Panel.

Quality of services

  • Welcome Letter Cloud Administered: Notification generated due to the hiring of a Managed Cloud.

  • Annual Quality Control of Service Survey: This survey is sent once a year to assess the Quality of the Service offered.

  • Satisfaction survey due to the cancellation of Service: Survey after the cancellation of a service with which you can help us improve.

  • Quality Surveys Technical Support: Survey in which you can assess the quality of the service offered by the Systems Engineering Area.

  • Welcome delivery of Cloud Hosting: Notification generated due to the hiring of a Cloud Hosting.

Alerts about the use of services

  • CaaS Intelligence Acring: Notification generated when a resource modification was made by the CaaS Intelligence service.

  • Use Alert, Bandwidth: Notification generated by an excessive use of bandwidth.

  • Use Alert, Backup Space: Notification generated by little available backup space.

  • Use Alert, Disk Space: Notification generated by little disk space.

  • Use Alert, Cloud Resources: Notification generated by excessive use of resources in your Cloud.

  • Use Alert, Traffic: Notification generated by little/excessive use of traffic.

  • Use alert, Traffic Stream: Notification generated by low traffic Stream available (applicable to VLANs).

Backup Processes

  • Planned backup failure: Notification generated by planned backup failure including details such as the service in which it failed, date and last correct backup.

  • Backup Recovery Completed: Notification generated after successful recovery of a backup.

  • Backup recovery request: Notification generated after requesting a backup recovery with details about it.

Prevention of risks on services

  • Vulnerability Scanning: Notification with recommendations aimed at preventing risks to your data, services and other vulnerabilities.

  • Possible loss of Data: Notification with recommendations aimed at preventing risks of data loss.

  • Committed services: Notification generated after detecting an unauthorized access that puts your services at risk.

  • Security Violations: Notification with information related to the security of your services.

Domain Management

  • Notice of NO auto-renewal of domains: Notification generated in case of insufficient balance to execute a self-renewal, leaving it canceled and having to be executed manually.

  • Domains, auto-renewal report: Notification informing of the domains that will be renewed due to the auto-renewal.

  • Domains, status change report: Notification generated after the change of status/situation of a domain. For example: Domain not renewed that happens to be in grace period.

  • Domains, Renewal report: Notification warning of the next expiration of a domain that must be renewed in order to be maintained.

Domain Management - WAP (Whois Accuracy Program)

  • WAP Verification mail owner: Notification generated to verify ownership of the domain. You have to press the verification link to make the confirmation.

  • WAP Verification mail owner - domain canceled: Notification generated 15 days after issuing a verification email from the owner and not having been made. Report the next deactivation of the domain.

  • WAP Verification mail owner - domain canceled to client SW: Notification reminding that the domain is deactivated.

  • WAP Verification mail owner to client SW: Notification generated confirming the correct verification of the domain (once the verification link has been followed).

Domain Management - IRTP (Inter Registrar Transfer Policy)

  • IRTP completed: Notification generated confirming both parts of the correct transfer of a domain.

  • IRTP current: Addressed to the domain receiver. Notification informing about the transfer process. Instructions to accept or reject the transfer are included.

  • IRTP current canceled: Directed to the domain receiver. Notification informing that the transfer has not been completed correctly.

  • IRTP new: Addressed to the transferor of the domain. Notification informing about the transfer process. Instructions to accept or reject the transfer are included.

  • IRTP new canceled: Directed to the transferor of the domain. Notification informing that the transfer has not been completed correctly.

SSL Certificate Management

  • SSL Certificate Renewal Report: Notification generated upon detection of the next expiration of SSL Certificates, which must be renewed to be maintained.
