What is an e-mail account?

E-mail is a network service that allows users to send and receive messages over an electronic communication network, such as the Internet. E-mail systems are based on a store-and-forward model, so it is not really necessary for both ends to be connected simultaneously. This is where the mail server comes in, which intervenes by temporarily storing messages before they are sent to their recipients.

How does e-mail work?

Currently when sending and receiving messages, we can sequence the steps executed in this way:

Email is written with the help of a mail manager. When this message is sent, the program contacts the SMTP mail server, which stores the message to be sent.

The sending SMTP server has to find the server to which it should send the message. To do this, it queries the destination server (technically, it queries the MX record of the domain) of the mail. Now you can connect and transfer the message, which will be stored on the destination server, also thanks to the SMTP protocol. The destination server will store the mail until the user deletes it.

Mail aliases

A mail alias is a mail account that redirects all incoming mail to any other account. An alias can have one or more recipients. The mail alias does not take up space since it does not store the mail, it simply forwards it to other(s).

Mailing lists

Email lists is a tool that allows you to send an email to multiple users simultaneously.

When a message is sent to the address on the list, it will reach the address of all the email accounts registered on the list. These lists are called Distribution Lists.

These lists should not be confused with Blacklists or Whitelists, which allow to secure or block respectively the reception of mails.

Create an email account with SWPanel

Access the Dashboard of the service for which you want to create an email account. To do this, click on Active Services Tree (left menu) and click on the corresponding service (in this case swmanuales.com hosting), or you can also locate the service for which you want to create the email account in the general SWPanel search engine:

Once you have selected the service, go to the blue menu on the left and select "Manage service ---> Manage mail".

Once in the Mail Management menu of your service, you must click on the blue "Create Account" button, located at the top right of the tab.

In this section, you must enter the name of the account and the password you will use to access it. You will also have other options such as limiting the maximum size of your mailbox, specifying an email account so that everything that arrives will be forwarded to that account and also the possibility of adding an automatic reply for all incoming messages.

You must take into account the hardness of the password. At SW Hosting we take the security of your data very seriously. That is why we force you to set a password considered "secure". In the password field you will see some indications with the minimum and necessary requirements to guarantee the security of your account.

Remember that you must accept with the button "create account" to finish the process of creating the email account.

Managing the email account with SWPanel

In this section you will be able to manage and administer your email accounts, add email aliases, distribution lists, white/black lists to filter mailboxes or domains and configure a Catch-All mailbox if necessary.

Create Mail Aliases with SWPanel.

In the Mail Management menu of your service, select the "Mail Aliases" section and click on the blue "Create Alias" button, located at the top right.

In this section, you must enter the name of the Alias account and to whom you want the email to be redirected. Remember to click on the "create" button to finish the process.

Create Distribution Lists with SWPanel

Once in the Mail Management menu of your service, select the "Distribution Lists" section and click on the blue "Create List" button, located at the top right.

In this section, you can choose the emails or recipients you want to add to the list as well as the user who will manage the list.

Remember to select "create" to finish the process.

Catch-All Mailbox enter image description here

In this section, you can create a Catch-All mailbox to receive all the emails of the domain, remember to click "Save changes" to apply the new mailbox.

Whitelist enter image description here In this section you can add a mailbox or a domain to whitelist. This list allows you to filter the accounts or domains so that they are always received in your mailbox.

You can apply it for a single mailbox or add the whole domain.

Remember that the Antispam filtering must be activated to use this option.

Black List ! enter image description here In this section you can add a mailbox or a domain to blacklist. This list denies the total delivery of mails, very useful if you are receiving SPAM.

Modify this email account

  • Account details: Here you can modify the access password and configure the mailbox limits. enter image description here

  • Forwarding: When you forward the emails, they are sent to the destination account you specify. If you activate the checkbox, the forwarded emails will be additionally saved in your original account.

  • Autoresponders: You can create automatically generated responses when you receive an email, as well as provide for the definition of autoresponder time periods.

  • Mail aliases: You will be able to visualize the aliases of your mail account and delete them.

Email account details

In this section, you will be able to view all the details of your account: space usage information, settings for your account configuration and link to Webmail, among others.

View aliases pointing to this account.

In this option you will see all the aliases associated to this account.

Open Post-It notes.

In the Post-It note you will be able to write down any remark regarding the email account.

Delete this email account

This option will delete the account.

Remember that this process will delete your email account and all its messages so there will be no possibility of recovering the data later so download the emails in your email manager before deleting it if you wish to keep any or all of the messages.

Activate Login SWPanel for this account.

With this option, you will be able to create a SWPanel login profile that will only be able to manage and modify the details of this account, except for the mailbox space limitation.

Update occupied space of this account.

This option is useful to see in real time the occupied space of the email account.

Security (Antispam / Antivirus)

With the Antispam and Antivirus services enabled, you can improve the level of security in your email account.

Our Antispam system automatically detects e-mail senders with possible or suspected spam and blocks such incoming e-mails.

On the other hand, our Antivirus system analyzes and detects threats in incoming emails that may contain malicious files and blocks them directly to avoid possible infections in your devices.
